- your phone number (if you provide it)
- the vehicle you are interested in (if you provide it)
- your message
If you phone or email us directly, we will also hold the details you give us in that conversation.
How we use your information
We use your information to:
- reply to your enquiry
- arrange viewings, test drives or a call back
- give you information about a vehicle you have asked about
- if you go on to buy a vehicle, complete the sale and meet our legal and accounting obligations
We will not use your details to send you marketing unless you have asked us to, and we never sell your information to anyone.

- Steps before a contract: when you ask us about buying a vehicle, we use your details to respond and take the steps you have asked for.

- Legal obligation: where we must keep records, for example for tax purposes after a sale.
Finance
Swan Motor Company (Bristol) Limited is authorised and regulated by the Financial Conduct Authority (FRN 673663). If you ask us about finance, we will only pass your details to a finance provider with your agreement. That provider will then use your information under its own privacy policy, which it will give you.
Who we share your information with
We only share your information with trusted services that help us run this website and respond to you:
- Our website hosting provider (Krystal Hosting, based in the UK) – stores the website, keeps standard server logs, and sends the messages from our contact form to our email inbox. Your message stays in the UK.
- Finance providers – only if you ask about finance and agree to us passing your details on.
We may also share information if we are required to by law.
How long we keep your information
- Enquiries: up to 12 months after our last contact with you, unless you go on to buy a vehicle.
- Customers who buy a vehicle: up to 6 years after the sale, as required for tax and accounting.
Cookies
This website does not use cookies. We do not use analytics, advertising or tracking tools, and we do not track your visit. If this changes, we will update this policy and ask for your consent before setting any non-essential cookies.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete your information
- object to, or ask us to limit, how we use your information
To use any of these rights, contact us using the details above. We will respond within one month. There is no charge.
